POPAI Board Meeting Minutes for 03/21/2024

Troy called the meeting to order at 12:42pm.

Secretary's Report

Troy asked if everyone had an opportunity to review the February Secretary’s Report.  Lindsey moved to accept and Mignon seconded. All were in favor. Motion carried.

Treasurer's Report

Andria provided the March Treasurer’s Report. February balance in checking was $80,691.48 and in savings $47,737.97. Cherie motioned to accept the Treasurer’s Report and Angela seconded. All were in favor. Motion carried.

Andria discussed the corporate member who attended Fall Conference but did not pay after several acknowledged contacts. Heather made a motion for our treasurer to collect for the outstanding corporate 2023 dues and if they want to become a corporate member in the future, they will be required to pay the 2023 amount and the current amount in full before exhibiting again. Bob seconded. All were in favor and motion carried.

Membership

Membership data is

1,190 Total Current; 1,040 POs; 15 Corporate; 135 Other. Troy mentioned Indiana has about 1,500 Probation Officers, so less than 500 will be contacted and offered the opportunity to join.

New Corporate Sponsor regulations include payment must be received before a conference table is reserved and payment due within 45 days of invoicing.

Banner designs are completed and our work on the branding project is done, Kahlie has been paid.

Andria suggested ordering a 2nd banner and 2nd tablecloth.

Troy outlined a concept of dual APPA and POPAI membership so Board Members could think about it.

Education

Anthony discussed the Whova Feature Update, which will then accept all presentation proposals. I will cost an additional $900. Andria motioned to approve the additional Whova feature with the $900 cost and Cherie seconded. All were in favor. Motion carried.

Chief's Executive Committee

Greg stated he has a list of ideas for future training topics and will send to Anthony.

Juvenile Delinquency Alternative Initiative (JDAI) Update

JDAI:

Esther provided the update by email:

  • The Request for Proposals (RFP) for sessions/workshops at the Inter-Site Conference will be released next week. We encourage all to consider submitting a proposal
  • Grant applications are in the final stages of review/resubmission
  • Our Executive Committee welcomed two new partner agencies – IPAC and the IPDC – joined us in February

Probation Officer Advisory Board Update

Meeting dates will be May 14, Aug 13 and Nov 12.

Awards and Recognition

Knepple Scholarship applications were due by March 26.

Justice Reinvestment Advisory Council (JRAC)

The last meeting was on March 8 and next workgoup meeting is on April 26.

Legislation

2024 Session is complete and the website is updated.

Technology

The new website structure is now branded and Karen will begin to apply it to our site starting the last week of March. Next steps also include improving other pages of the site based on visit data so our most used pages will receive updating first.

Old Business

Probation Officer Salary Schedule – Patrick M, the compensation analyst, was in person and discussed the information received. He received information from over 800 probation officers from almost 50 departments. A great deal of discussion occurred. Patrick will finish the analysis and then send to Troy. It will eventually be published on our website.

DOC Funding Formula and DOC Performance Measures -If you have any ideas, please notify Troy.

New Business

APPA Scholarship – Andria will review how POPAI awarded the previous scholarships and email the board.

Cherie motioned to adjourn. Heather seconded. All were in favor and motioned carried.
