POPAI Board Meeting Minutes for 01/10/2024

Troy called the meeting to order at 10:30am.

Secretary's Report

Troy asked if everyone had an opportunity to review the December Secretary’s Report.  Rupert moved to accept the December Secretary’s Report.  Mignon seconded. All were in favor. Motion carried.

Treasurer's Report

Andria provided the January Treasurer’s Report. As of December 31, 2023, the balance in checking was $85,317.47 and in savings $47,737.16.  Cherie motioned to accept the Treasurer’s Report. Albert seconded. All were in favor. Motion carried.

Andria stated at the end of 2022 our bank balance of $99,904.56 in checking and $17,083.99 in savings ($116,998.55 total).  In 2023 the bank balance of $85,317.47 in checking and $47,737.16 in savings ($133,054.63 total), which is an overall increase of $16,066.08 from 2022

Technology

A technology committee meeting is scheduled for tomorrow. Karen is working on finalizing the structural portion of the website.   She presented the calendar for the next 3 months and the top pages include the home page, jobs, and several articles.

Membership

As of January 2, 2024: 1,195 total current – 1,025 probation officers – 35 corporate – 135 other.

A large number of people unsubscribed from our bulk mail account on December 18. Karen is suspicious this was not done by the members and she is investigating with our provider.

Unpaid Corporate Sponsorship policy is created to require payment within 45 days of invoicing, Karen identifies and communicates with any overdue A few have not paid for their 2023 membership. Karen offered suggestions on a future plane to rectify this issue. A discussion followed. Anthony, Andria and Karen will communicate after the mailbox is checked again.

Branding Round 2:  Karen provided the suggested logo (after we provided our initial thoughts). We discussed the size of the key holes, the size of the flame, size of lines and lettering. Andria will contact the current merchandise vendor and ask about pricing for the different suggestions. We agreed upon color and font. The board asked to review the logo with periods and one without periods. Karen will take all recommendations and provide updated ideas at the next meeting.

 

Education

2024 Management Institute – March 20-22 Drury Inn – Wednesday will be the New Chiefs Training.

Other than the last session, the agenda is scheduled. Anthony asked about the cost of attending and we agreed it will remain the same. The save the date information will be sent next week.

2024 Fall Conference – Sept 4-6

APPA Summer Institute (June) – The next host meeting will be Jan 22. Our POPAI group met this week to discuss options for POPAI to host/assist w/ the event night. Different ideas:

A local cover band will charge $3850 (+ $1000 for sound/light and possible lodging), other outside activities, etc. Another meeting will be scheduled in a few weeks.

 

Chief's Executive Committee

Greg will contact Anthony to schedule the next meeting.

 

Juvenile Delinquency Alternative Initiative (JDAI) Update

Esther stated the grant applications are due on Jan. 19. Approximately 2 million is available.

The State conference is scheduled for October and will be in Fort Wayne. The State is currently collecting data.

Justice Reinvestment Advisory Council (JRAC)

The next meeting is January 12.

The next EBDM/Local JRAC Workgroup meeting is February 9.

Legislation

The new session began on Jan 8, 2024 and we are unaware of any controversial items for probation. All bills should be filed by next week.

 

Old Business

By Laws Committee: Troy will contact Hillary about the pretrial officers.

Probation Officer Salary Schedule: Troy had a meeting with the company who will conduct the research (regional pay/administrative stipend). Troy has provided documentation the company requested and he continues to communicate with them. He may contact counties for job descriptions, additional pay information, etc. The goal is to be completed by the end of March, beginning of April.
