Executive Board Meeting

Call to Order:

Eric Zimmerman opened the meeting at 11:00 a.m.

Secretary’s Report:

Tim moved to accept the September minutes. Susan seconded, all were in favor. Motion carried.

Treasurer’s Report:

Madonna presents the Treasurer's Report. She reports that she is still learning Quicken, but has reconciled the accounts with the bank. Madonna reports that the balance of the checking account is $6,545.14 and savings is $22,395.62. Total assets at this time are $29,220.75. Susan moves to accept the balances as reported verbally. Bill seconded, all were in favor. Motion carried.

Membership:

Jennifer reports for Lori. Jennifer reports that Lori has created a pamphlet to provide to potential student members and requests that the Board approve to have 100 color copies made. Bill moves to have 100 color copies of the pamphlet made. Madonna seconds, all were in favor. Motion carried. Lori has purchased a Laser printer from Staples for $399.00 and it included (for free) a $90.00 Xerox paper shredder. These items need added to the POPAI asset list. Lori will send the receipt for reimbursement to Madonna. Lori spoke with C. Ted Ward II regarding student membership through Ball State. He states that he can schedule a time for her to meet with Lambda Alpha Epsilon and possibly speak to a Criminal Justice class. Details forthcoming.

Education:

Susan states that she will get with Jennifer to get the final numbers for the conference. She reports that she will have a final report by the next meeting, but that it looks like we broke even for the conference. Jennifer reports that there just under $1,700.00 in registration fees to still be collected (all counties that have not paid have been contacted). Eric reports that the POPAI Search Committee received five (5) applications for the Training & Conference Planner position. Applications were received from Lana Emery, Robyn Zimmerman, C. Ted Ward II, Susan Rice, and Jennifer Outlaw. Eric appoints an ad hoc committee to screen the resumes and interview the applicants for the position. Tim, Cherie, and Linda will serve on this committee with Tim as chair.

Awards and Recognition:

Madonna reports that Terri Bodine's scholarship money has been paid.

Corporate Membership:

Susan reports that she has had interest from a couple of companies this month. She provided them with membership information.

Legislation:

Eric reports there is a Sentencing Study Committee taking place at this time. POPAI will continue to monitor.

Election:

No report.

Technology:

Bill reports that there will be a Technology Meeting prior to next month's meeting at 10 a.m. The meeting will take place in Room 118. Susan said that corporate membership has expressed interest in having their websites linked directly from ours. Bill states that this will be brought up at the next meeting.

Merchandise:

We are in the process of securing a vendor to provide merchandise via the POPAI website. Details forthcoming.

Old Business:

Eric reports that the Chief's Executive Committee will be meeting on Friday, October 17, 2003, in Wells County.

New Business:

Susan reports that she spoke the the Indiana Judicial Center and they report they plan to gather information regarding compliance to the new salary guidelines and give assistance to counties if needed. POPAI offered assistance with gathering information if needed.

POPAI would like to congratulate Robert Bingham, Chief Probation Officer of the Marion Superior Court Probation Department for being named the 2003 Sam Houston State University Executive of the Year as presented by the National Association of Probation Executives and the Criminal Justice Center at Sam Houston State University. Congratulations Bing!

Cherie moved to close the meeting. Bill seconded, all were in favor. Motion carried.

Next month's meeting will be held at the City-County Building, Room 118, Indianapolis, Indiana, on Wednesday, November 12, 2003, at 11 a.m.
